We are currently looking to recruit an Office Administrator to join our expanding team.

Vortec Marine are a leading independent yacht refit, repair and maintenance service centre providing high-quality service and workmanship. We are the accredited Nautor's Swan Authorised Service & Refit Centre and Hinckley Yachts Service UK. We are an experienced team consisting of shipwrights; joiners; marine engineers and riggers. Vortec are equipped to cover all manner of works from annual maintenance through to full refit, accommodating vessels measuring up to 40m.

Job Purpose:
Organising all administrative activities that facilitate the smooth running of an office.

Key Responsibilities
• Keeping well-organised files and records of business activity
• Undertake the tasks of receiving calls, take messages and routing correspondence
• Providing office support including customer and management support
• Keeping customer and supplier databases up to date
• Assisting with accounts procedures
• Ensure brokerage listings are kept up to date on the Vortec website, social media and other marketing sites
• Send Mailchimp advertising campaigns
• Ensure details on window displays boards are kept up to date
• Processing employee expenses
• Assisting with travel arrangements
• Preparing documents by printing, copying, and scanning
• Collecting, sorting and sending post where required
• Acting as a personal assistant to the executive team
• Scheduling appointments and events
• Ordering office stationery and other supplies
• Participating in office meetings and taking meeting minutes
• Giving feedback on office efficiency and suggesting possible improvements
• Any other administrative tasks that are required
• Use a range of office software, including email, spreadsheets and databases, and bespoke software to ensure the efficient running of the office
• Check that data protection laws are being adhered to in relation to the storage of data, and review and update policies
• Attend trade shows and exhibitions to stay up-to-date with industry trends

Skills and Experience
• IT skills, with confidence using Microsoft Office and inventory management systems
• Excellent organisational skills
• Strong interpersonal skills

Salary DOE: £18,000 - 20,000
Based Swanwick with occasional local travel.
